Create a calendar for a room or shared space (2025)

If you manage a shared space, like a conference room or basketball court, you can create a calendar for the space and let people book time in it.

Note: If you're using Google Calendar through your work, school, or organization, learn how to add resources to a work or school event instead.

Create a shared space calendar

  1. On your computer, open Google Calendar. You can't create shared calendars from the Google Calendar app.
  2. On the left, next to "Other calendars,"click Add other calendars Create a calendar for a room or shared space (1)Create a calendar for a room or shared space (2)Create new calendar.
  3. Add a name for your calendar, and any other information you want to include.
  4. At the bottom of the page, click Create calendar.
  5. On the top left, click Back Create a calendar for a room or shared space (3).
  6. Under "My calendars,"next to your new calendar's name, click MoreCreate a calendar for a room or shared space (4) Create a calendar for a room or shared space (5) Settings and sharing.
  7. Under "Auto-accept invitations," select an option:
    • Auto-accept invitations that do not conflict: All invitations show on the calendar. If there are no conflicts, people with permission to view all event details automatically accept an invite to any new event.
    • Automatically add all invitations to this calendar: All invitations show on the calendar. People can RSVP to the invitation.
    • Do not show invitations: Invitations don’t show on the calendar. People subscribed to the calendar must turn on notifications to receive invitations for new events in their email. After they RSVP in the email notification, the event shows up on the calendar.
  8. Make your calendar public, or share it with certain email addresses.
  9. On the top left, click Back Create a calendar for a room or shared space (6).

Add a shared space calendar

You can add calendars created by other people in your organization, such as room schedules, to your list.

  1. On your computer, open Google Calendar. You can't add shared calendars from the Google Calendar app.
  2. On the left, next to "Other calendars," click Add Create a calendar for a room or shared space (7) Create a calendar for a room or shared space (8)Browse resources.
  3. Next to the calendar you want to add, check the box.
  4. On the top left, click Back Create a calendar for a room or shared space (9).
  5. You'll see the new calendar under "Other calendars."

Set Calendar hours

To set hours for your space, block off the time when it isn't available.

  1. Open the calendar you created for your space.
  2. For the hours that aren't available, create an event during that time with a name like "Closed." If the space is always unavailable at that time, you can make the event repeat.
  3. Click Save.

Create an event that shows up on a shared calendar

Step 1: Get the ID of the calendar you want to share

  1. On your computer, openGoogle Calendar.
  2. On the left, under "My calendars," point to the calendar you want to share.
  3. Click More Create a calendar for a room or shared space (10)Create a calendar for a room or shared space (11)Settings and sharing.
  4. On the left, click Integrate calendar.
  5. Copy the Calendar ID.

Step 2: Create an event

  1. On your computer, open Google Calendar.
  2. In the top left, click Create Create a calendar for a room or shared space (12).
  3. Enter the event information.
  4. Under "Add guests," add the calendarID.
  5. Click Save.
